How FoxTrail handles information for event browsing, accounts, saved events, API access, billing, feedback, and email communications.
Introduction and scope
This Privacy Policy explains how FoxTrail handles information when you use the website, browse events, create an account, save events, manage an organization, use API keys, view API usage, manage billing, submit feedback, or sign up for email updates.

Information we collect
Depending on how you use FoxTrail, we may collect or store the following information:
- Account information: your name, email address, password authentication records, profile image if provided, account creation time, and account update time.
- Session and security information: session tokens or cookies, session expiration, IP address, user agent, and active organization selection.
- Organization information: organization name, slug, logo if provided, members, member roles, invitations, and related timestamps.
- Saved event information: the events you save to your account and when you saved them.
- API key information: API key name, prefix or starting characters, permissions, enabled status, organization association, creation/update timestamps, last request timestamp, and expiration timestamp if used. FoxTrail stores API keys in a protected form and only shows the full key once when it is created.
- API usage information: organization ID, API key ID and name, request method, path, endpoint, status code, error code, response time, request ID, user agent, approximate country from Cloudflare request metadata, and request timestamp.
- Billing and subscription information: selected plan, subscription status, Stripe customer ID, Stripe subscription ID, billing interval, billing period dates, cancellation dates, and related subscription metadata.
- Communications: newsletter signup email, password reset email activity, feedback, source suggestions, and any message details you choose to submit.
- Request-based location context: approximate city, region, country, coordinates, and timezone made available by our hosting provider. FoxTrail does not ask your browser for precise GPS location.
How we use information
We use information to operate and improve FoxTrail, including to:
- create, authenticate, secure, and support accounts
- maintain sessions and password reset flows
- create and manage organizations, members, roles, invitations, and entitlements
- save events to your account and show them back to you
- create, display, disable, rename, and manage API keys
- enforce API limits, prevent abuse, debug requests, and show API usage dashboards
- process subscriptions, plan changes, billing status, and billing portal access
- send account-related email, password reset email, newsletter email, and feedback responses
- show local city, timezone, date, and weather context
- monitor reliability, investigate errors, protect the service, and comply with legal needs
Cookies and similar technologies
FoxTrail uses cookies and similar browser storage when needed for authentication, sessions, security, and account functionality. These cookies help keep you signed in and let FoxTrail know which account or organization is using the service. If you block cookies, account features may not work correctly.
Payments
FoxTrail uses Stripe for payment and subscription processing. When you start or manage a paid plan, Stripe may collect payment details, billing address, tax-related information, and other information needed to process the transaction. FoxTrail does not store full credit card numbers. FoxTrail stores subscription records and Stripe identifiers needed to manage plan access, billing status, entitlements, and support questions.
Your use of Stripe checkout or the Stripe billing portal is also governed by Stripe's own terms and privacy practices.
Service providers
We use service providers to run FoxTrail. These include:
- Cloudflare for hosting, Workers, D1 database storage, request metadata, security, Turnstile verification, and related infrastructure.
- Stripe for checkout, billing portal, payments, and subscriptions.
- Resend for newsletter email, feedback email, and password reset email.
- Open-Meteo for weather lookups based on rounded approximate coordinates. We do not intentionally send your email address or exact IP address to Open-Meteo for this lookup.
When information may be disclosed
We may disclose information in limited situations, including:
- to service providers that help us operate FoxTrail
- to process payments, manage subscriptions, or provide billing support
- when needed to investigate security issues, fraud, abuse, or service misuse
- when required to comply with applicable law, legal process, or valid governmental request
- when reasonably necessary to protect the rights, safety, or integrity of FoxTrail, Aether Fox Studio, users, or others
- in connection with a business transfer, such as a merger, sale, financing, or transfer of assets
Event data and public sources
FoxTrail collects event information from public or source-authorized locations such as event calendars, venues, publishers, chambers, libraries, and community websites. That event data may include public event titles, dates, venues, links, descriptions, source names, categories, prices, registration details, and images. If you believe an event listing includes information that should be corrected or removed, contact us at support@usefoxtrail.com.
Retention
We keep information for as long as reasonably needed to operate FoxTrail, provide account and API features, maintain billing records, comply with legal obligations, resolve disputes, prevent abuse, and enforce our terms. Saved events remain associated with your account until removed or no longer needed. API usage logs may be retained for operations, security, debugging, analytics, billing, and rate-limit enforcement. Billing records may be kept as needed for tax, accounting, business, and legal reasons.
Your choices
You can control some information directly:
- unsubscribe from newsletter emails using the unsubscribe option when available
- remove saved events from your account
- disable, delete, or rename API keys from the account dashboard
- manage paid subscriptions through the billing portal when available
- contact us to request access, correction, or deletion of account information
Some information may need to be retained for legal, security, billing, backup, or operational reasons. To make a request, contact support@usefoxtrail.com.
Security
We use reasonable technical and organizational steps intended to protect the information we handle. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
Children's privacy
FoxTrail is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us at support@usefoxtrail.com.
Changes to this policy
We may update this Privacy Policy from time to time. If we make changes, we will post the updated version on this page and update the "last updated" date above.
